By accessing our websites, registering for or participating in a conference, submitting an abstract or presentation, applying as a speaker, exhibitor or sponsor, or otherwise using our services, you acknowledge that you have read, understood, and agreed to these Terms.
If you do not agree with these Terms, you should not use our websites or services.
1. About SCON Conferences
SCON Conferences organises and promotes academic, scientific, professional, and research-focused conferences and related events across different disciplines and geographical locations.
Our activities may include conference organisation, event promotion, delegate registration, speaker coordination, abstract collection, programme development, sponsorship and exhibition opportunities, publication of conference materials, networking activities, and other services associated with academic and professional events.
These Terms apply to SCON Conferences as an organiser and to conferences, events, websites, and services operated or promoted by SCON Conferences, unless a particular Conference has additional or different event-specific terms.
2. Definitions
For purposes of these Terms:
"SCON Conferences", "SCON", "we", "us", or "our" means SCON Conferences, acting as the organiser or operator of the relevant Conference, event, website, or service.
"Conference" means any conference, congress, summit, meeting, workshop, symposium, webinar, scientific event, academic event, professional event, or related activity organised, managed, hosted, or promoted by SCON Conferences.

"Website" means the SCON Conferences website, conference-specific websites, registration pages, online platforms, and other digital properties operated or controlled by SCON Conferences.
3. Acceptance of Terms
By using our Websites or services, you confirm that you have the legal capacity to enter into these Terms.
Where you register on behalf of another individual, organisation, institution, company, or group, you confirm that you have the authority to do so and that these Terms will apply to the relevant participant or organisation.

If there is a conflict between these general Terms and the terms published for a particular Conference, the Terms & Conditions of the particular Conference will govern matters specific to that Conference, including registration, cancellation, refunds, participation requirements, and other event-specific conditions.

You must not:
- use the Website for fraudulent or unlawful purposes;
- provide false, misleading, or inaccurate information;
- impersonate another person or organisation;

- session formats;
- presentation schedules;
- Conference delivery format;
- accommodation arrangements; and
- other operational arrangements.
Where reasonably practicable, material changes will be communicated through the Website, email, or other appropriate channels.
6. Conference Registration
Registration is required where specified for participation in a Conference.
Participants are responsible for ensuring that all registration information submitted to SCON Conferences is complete and accurate.
A registration request does not necessarily constitute acceptance until confirmed by SCON Conferences or its authorised registration or payment system.

- payment confirmation; and
- additional Conference requirements.
SCON Conferences may decline or restrict a registration where necessary for operational, security, compliance, or other legitimate reasons.
7. Registration Fees and Payments

Fees may vary depending on registration category, registration period, participation type, location, package selected, or other Conference-specific conditions.
Unless expressly stated otherwise, participants are responsible for all applicable taxes, bank charges, currency conversion charges, transaction charges, travel expenses, accommodation expenses, visa costs, and other personal expenses associated with participation.
Registration fees must be paid using the payment methods made available by SCON Conferences or its authorised payment providers.
8. Payment Processing
Payments may be processed by third-party payment processors or financial service providers.
Where payment processing is handled by an authorised third-party provider, SCON Conferences does not generally receive or store complete payment-card information.
Participants are responsible for reviewing the applicable terms and privacy practices of third-party payment providers.
A payment may be considered complete only when the applicable payment provider confirms successful processing and SCON Conferences has received the relevant confirmation.
9. Cancellation and Refunds
Cancellation and refund terms may differ between Conferences, registration categories, packages, and participation types.
The specific Terms & Conditions and cancellation/refund policy published for the particular Conference will govern all cancellation requests, refund eligibility, applicable deadlines, deductions, and related conditions for that Conference.
Participants are responsible for reviewing the Terms & Conditions of the particular Conference before completing registration.
Unless otherwise specified in the applicable Conference Terms & Conditions, cancellation requests should be submitted in writing to SCON Conferences using the official contact details provided for the relevant Conference.
Where a refund is approved under the applicable Conference Terms & Conditions, it will normally be processed using the original payment method, subject to applicable payment-provider procedures and processing timelines.
SCON Conferences shall not be responsible for cancellation or refund conditions imposed by independent third-party service providers, including hotels, airlines, travel providers, payment providers, or other external suppliers.
10. Conference Cancellation, Postponement or Relocation
SCON Conferences may cancel, postpone, reschedule, relocate, modify, or change the format of a Conference where reasonably necessary.
Reasons may include operational requirements, venue availability, speaker availability, insufficient participation, government requirements, public safety concerns, travel restrictions, natural disasters, technical problems, or other circumstances beyond our reasonable control.
Where a Conference is postponed or rescheduled, registrations may, where applicable, be transferred to the revised event.
The applicable refund or transfer arrangements will be determined in accordance with the Terms & Conditions and cancellation/refund policy of the particular Conference.
11. Speakers and Presenters
Acceptance of a speaker or presentation proposal does not guarantee a specific presentation time, session, format, audience size, publication opportunity, or other particular outcome.
SCON Conferences may modify the programme, session structure, presentation format, or presentation schedule when reasonably necessary.
Speakers are responsible for ensuring that their presentations and submitted materials:
- are accurate to the best of their knowledge;
- do not unlawfully infringe third-party intellectual property rights;
- comply with applicable laws and professional standards;
- do not contain unlawful or defamatory material; and
- comply with any Conference-specific submission requirements.
SCON Conferences reserves the right to decline, remove, or modify submitted content where necessary to comply with applicable law, Conference standards, or operational requirements.
12. Abstracts, Manuscripts and Submitted Materials
Participants may be invited to submit abstracts, manuscripts, presentation titles, biographies, photographs, institutional affiliations, or other materials.
By submitting such material, you confirm that:
- you have the necessary rights and authority to submit it;
- the material does not knowingly infringe third-party rights;
- the information provided is accurate to the best of your knowledge; and
- the submission complies with the applicable Conference requirements.
SCON Conferences may review, format, edit, organise, publish, display, or reproduce submitted materials for legitimate Conference-related purposes.
Submission of material does not guarantee publication, presentation, inclusion in proceedings, or acceptance into a Conference.

Where a participant does not want particular publicly displayable information to be published, they should contact SCON Conferences before publication where reasonably possible.
14. Sponsorship and Exhibition
SCON Conferences may offer sponsorship, exhibition, partnership, advertising, branding, or promotional opportunities.
Specific sponsorship and exhibition arrangements may be governed by separate agreements, invoices, packages, or terms.
Sponsors and exhibitors are responsible for ensuring that their materials, products, services, claims, logos, advertisements, and other content comply with applicable laws and third-party rights.
SCON Conferences does not necessarily endorse or guarantee the products, services, claims, or representations of sponsors, exhibitors, advertisers, or other third parties.
15. Accommodation and Travel
Where SCON Conferences provides or promotes information regarding hotels, accommodation, transportation, travel, airlines, visa services, or other travel-related services, such services may be provided by independent third parties.
Unless expressly stated otherwise, SCON Conferences is not the provider of those third-party services.
Participants are responsible for making their own travel and accommodation arrangements and for checking applicable cancellation, booking, visa, insurance, and travel requirements.
SCON Conferences does not guarantee visa approval, flight availability, hotel availability, immigration clearance, or travel arrangements.
16. Visa and Immigration
Where appropriate, SCON Conferences may provide invitation letters or other supporting documents to eligible registered participants.
Issuance of a supporting document does not guarantee that a visa or immigration permission will be granted.
Participants remain responsible for submitting complete and accurate visa applications and complying with the requirements of the relevant authorities.
SCON Conferences is not responsible for visa refusal, delays, travel restrictions, immigration decisions, or associated costs.
17. Participant Conduct
Participants are expected to behave professionally and respectfully.
SCON Conferences may take appropriate action against participants who engage in harassment, discrimination, threatening behaviour, disruptive conduct, fraud, abuse, unlawful activity, or behaviour that materially interferes with the Conference.
Depending on the circumstances, action may include removal from an event, cancellation of participation, restriction of access, or termination of registration without refund where permitted by the applicable Conference Terms & Conditions.
18. Photography, Video and Event Recordings
SCON Conferences or authorised third parties may photograph, record, or otherwise document Conferences for legitimate organisational, educational, archival, promotional, and marketing purposes.
By attending a physical or virtual Conference, participants acknowledge that they may appear incidentally in photographs, videos, recordings, or other Conference documentation.
Where a specific recording or media activity requires additional consent, SCON Conferences will seek such consent where appropriate.
Participants should avoid recording or distributing presentations, discussions, or other Conference content where doing so would violate applicable law, intellectual property rights, confidentiality requirements, or Conference rules.
19. Intellectual Property

Where you submit content to SCON Conferences, you grant SCON Conferences a non-exclusive, worldwide, royalty-free right to use, reproduce, format, publish, display, distribute, and communicate that content for legitimate Conference, educational, archival, promotional, and organisational purposes, subject to applicable law and any specific agreement governing the submission.
You remain responsible for the content you submit.
